DESCRIPTION

Under general supervision from the school principal, directs the registration activities of students coming into the public school system, coordinates class schedules with room assignments, and maintains record system related to the same.  Assignments are completed in accordance with established policies and procedures, but independent judgment is sometimes required.  Work is reviewed through observations and staff conferences.

DUTIES AND RESPONSIBILITIES (NOT ALL INCLUSIVE)

  • Initiates and completes all work connected with registration of students in school;
  • Corresponds with school officials to request information and to answer inquires  regarding students’ transcripts and scholastic standings;
  • Complies scholastic ranking of graduates and other pertinent statistics;
  • Prepares periodic reports for school officials based upon registration data;
  • Schedules classrooms according to courses of study to be offered, maintain a master listing showing classrooms assigned and the classrooms available;
  • Maintains records of registration cards, schedule cards, dropouts, “on condition” students and all other records as necessary;
  • Prepares or ensures that all necessary forms for scheduling students are available;
  • Reviews registration forms and transcripts for students for placement;
  • Directs students to appropriate counselor for preparation of course selection form;
  • Request transcripts for students;
  • Issues transcripts as requested by past and present students;
  • Verifies enrollment for Social welfare Housing, Food Stamps, Armed Forces and Social Security;
  • Prepares examination schedule for midterm and final exam;
  • Determines scholastic ranking of graduating students as of the at the end of 11th grade, first semester of 12th and final 12th;
  • Prepares and maintains roster of students enrolled;
  • Custodian of cumulative records and report cards;
  • Ensures that report cards and cumulative records are prepared for all students enrolled;
  • Determines whether or not a possible graduate has met graduate requirements;
  • Performs related work as required.
  • Identifies gifted children and suggests accelerated programs for such children;
  • Prepares case histories and reports outlining diagnostic results of the tests as a basis for planning the type of treatment;
  • Plans and supervises in-service training programs for teachers to meet the needs of students;
  • Provides to school personnel, parents and certain community agencies clinical and diagnostic information regarding children learning and emotional problems;
  • Prepares and submits required reports to the principal;
  • Participates in case conferences and research programs;
  • Participates in the development and administration of programs in the department;
  • Prepares and maintains comprehensive case records on each client in accordance with local and federal standards;
  • Performs related work as required.

KNOWLEDGE, SKILL AND ABILITIES

  • Knowledge of the procedures involved in maintaining school records of students’ grades and achievements;
  • Knowledge of the principles and techniques of office management;
  • Knowledge of computer programs such as excel, quicken and other record keeping software;
  • Knowledge of the theory, principles and techniques of master scheduling of school enrollment and classroom space to meet existing needs;
  • Ability to type accurately at a working rate of speed and to understand and follow complex oral and written instructions;
  • Ability to prepare  and maintain accurate detailed records;
  • Ability to exercise patience while dealing with students;
  • Ability to work harmoniously and effectively with all those contacted during the course of work.
  • Ability to exercise sound, independent judgment in carrying out functions of the position.

EDUCATION AND EXPERIENCE

  • Bachelor of Arts degree in Education or Business and two (2) years of experience school registration activities.

DESCRIPTION                  

An individual selected for this position, will be working as a sub-professional investigative social worker, at the full performance level which involves continuous follow up on student absenteeism from school. 

DUTIES AND RESPONSIBILITIES (NOT ALL INCLUSIVE):

  • Receives and reviews reports of extended and unexplained absences of students from school;
  • Consults with parents who have irregular or unusual attendance patterns;
  • Assists in directing parents to the appropriate resource personnel or agencies when resources outside the school and home are needed;
  • Works in closely coordinated efforts with members of school guidance teams, administrators, nurses and School Psychologists;
  • Keeps case records and provided summaries or written referrals to appropriate agencies;
  • Follows established policies and procedures for referring the case to the Department of Social Welfare for available assistance;
  • Identify the various causes of absenteeism (e.g. economic problems);
  • Assists the Department of Social Welfare in obtaining case reports on problems involving school absenteeism;
  • Prepares and presents before the police and court, cases of chronic violation of school law as it relates to school attendance;
  •  Performs other related work as required;      

KNOWLEDGE, SKILL AND ABILITIES

  • Considerable knowledge of school law, especially as it relates to school attendance;
  • Considerable knowledge of theory, techniques, and procedures of social case- work;
  • Knowledge of the procedures involved in maintaining accurate records;
  • Ability to exercise patience and deal tactfully with students and parents;
  • Ability to recognize and assemble pertinent information gained from interviews;
  • Ability to establish and maintain effective working relationship with all persons contacted during the course of the work;
  • Ability to exercise sound, independent judgment in carrying out functions of the position.

EDUCATION AND EXPERIENCE:

  • Completion of the 12th grade or GED and five (5) progressive years of varied experience in dealing with the public.

GENERAL STATEMENT OF DUTIES                         

An employee, in this class, under general supervision, performs highly secretarial limited administrative or office management work uses some latitude in interpreting, explaining, and applying routine policy, procedures, and regulations and makes independent work decisions within a definite scope requiring knowledge of departmental policies.

 

DUTIES AND RESPONSIBILITIES (NOT ALL INCLUSIVE):

  • Takes and transcribes dictation, screens calls and appointment schedule for supervisor;           
  • Interprets and explains rules, regulations, and policies to office personnel, employees in other offices, and to other persons contacting the office;
  • Plans, assigns and supervises the work of small number of clerical workers engaged in typing, filing, stenography, account clerk work and other clerical duties;
  • Prepares non-technical reports on the operation of the unit for signature of supervisor;
  • Interviews persons appearing at the office directing them to the other appropriate offices or otherwise assisting them to perform their business;
  • Supervises the preparation of pay documents and personnel transactions forms affecting employees and officers of the agency;
  • Receives and distributes incoming mail; prepares and signs routine correspondence.
  • Schedule supervisor’s appointments and travel;
  • Makes or supervises the making of supplies and equipment inventories;
  • Performs other related work as required.

KNOWLEDGE, ABILITIES AND SKILLS:

  • Considerable knowledge of the policies, rules, regulations, and procedures affecting operation of the agency;
  • Considerable knowledge of the principles and practices of management;
  • Ability to interpret, explain and apply general and routine policy, rules regulations and procedures;
  • Ability to organize, assign and supervise the work of a small or moderately sized staff or clerical employees;
  • Ability to express oneself clearly and concisely, orally and in writing;
  • Skill as a typist, and where necessary, as a stenographer.

  • Two years secretarial certificate from an accredited secretarial school; or completion of the twelfth school grade including or supplemented by general commercial subject and four years clerical experience including two years as Clerk-Typist III or its equivalent.

GENERAL STATEMENT OF DUTIES:           

A highly technical fiscal and administrative position that oversee the daily implementation, computations and reviews of the Department’s payrolls along with administering the implementation of all payroll policies and procedures for exempt and non-exempt state and district employees paid from a variety of pay scales.

 

DUTIES AND RESPONSIBILITIES:

  • Knowledge of government’s accounting practice and procedures;
  • Knowledge of governmental fiscal and accounting systems;
  • Supervises Account Clerks and other clerical assistants involved in computation of payments concerned with payroll;
  • Computes and pays deductions including state’s share of FICA, Worker’s Compensation, health and dental insurance plans and other monetary payments;
  • Maintains documents to properly record computations;
  • Conduct training for staff in payroll and fringe benefit payments and keep staff updated on changes in payroll processing;
  • Prepares supplemental payroll for employees who were terminated or who have been taken off the regular payroll;
  • Conduct meetings with department administrators to discuss payroll matters or other items involving overtime payments or other personal service items;
  • Devises methods and modifies procedures for employees working on a variety of rate sheets with the Department with responsibility for the accuracy of all payroll manifests;
  • Perform work with employees to complete payroll information requests from Social Security, attorneys, financial institutions and other outside sources;
  • Perform related work as assigned.

KNOWLEDGE AND SKILLS REQUIRED:

  • Knowledge of facilitating bookkeeping principles and methods;
  • Knowledge of the principles of management and their application to the administration of government affairs;
  •  Ability to train and ensure that staff follows guidelines in accordance with Department’s regulations.
  • Ability to apply and adapt established methods to varied bookkeeping transactions;
  • Ability to direct the operation of assigned sections and programs;
  • Ability to carry out complex oral and written instructions;
  • Ability to exercise judgments and discretion in establishing, applying and interpreting division policies and procedures

 

EDUCATION AND EXPERIENCE:

  • Bachelor’s degree from an accredited university/college, technical institute or business school with a major study in business administration, business finance or accounting and at least eight years in a supervisory position or related field;

GENERAL STATEMENT OF DUTIES                         

This is highly specialized technical and lead supervisory work in the operation of the general-purpose digital computer and its peripheral equipment.

Employees in this class serve as lead operators for the complete processing of job production runs on the computer system or operate the most complex and sophisticated computer equipment. Work involves preparing the computer system for operation and performing operations according to schedule and program instructions.  The most important aspect of the work is maximizing production while minimizing processing time through operator intervention in resolving computer halts.  Work may include instructing subordinate operators and trainees.  Employees are expected to use initiative and judgment in solving machine or production halts.  Employees are further responsible for assisting in maintaining work schedules by a technical supervisor. 

DUTIES AND RESPONSIBILITIES (NOT ALL INCLUSIVE)

  • Resolves operation halts by revising existing or devising new operating techniques;
  • Prepares data for a computer run while other jobs are being run;
  • Recommends improved service routines, production techniques and modifications or additions to equipment;
  • Observes and controls the course of jobs being run on the computer system;
  • Takes immediate action to correct any machine malfunction;
  • Assists in the orientation of operators in a lower classification;
  • Prepares job streams and job control cards;
  • Acts as operations supervisor when required;
  • Performs related work as assigned.

KNOWLEDGE AND ABILITIES

  • Knowledge of the operation and care of the digital computer and its peripheral equipment;
  • Knowledge of computer operating systems and preparation and use of job control cards;
  • Knowledge of peripheral operational methods and techniques;
  • Knowledge of programming principles and techniques;
  • Knowledge of the capabilities of the general-purpose digital computer and its peripheral equipment;
  • Knowledge of the principles and methods used in obtaining maximum utilization of computer equipment;
  • Ability to operate a digital computer and related data processing equipment;                                       
  • Ability to follow detailed program instructions;
  • Ability to instruct subordinate employees in the methods of operations to be followed in preparing data;
  • Ability to work effectively with programmers, subordinates, associates and others;
  • Ability to reason and think logically;
  • Ability to plan, organize and supervise the work of subordinate employees.

QUALIFICATIONS

Completion of the twelfth grade and four years of experience in the operation of data processing machines, one of which must have been at the level of a Computer Operator or a related position.
